Welcome to the Department of Pediatrics!
We are excited to have you as a newly appointed faculty member, and look forward to serving your needs in Academic Personnel Services at the Pediatrics Business Services office.
To process your new appointment, there are many forms, deadlines, and documents required. The following information will help to guide you as we assist you in the new appointment process.
To make the appointment process as smooth as possible, we have created a step-by-step guide of required documentation, deadlines, and formats all in one place!
New Faculty Orientations provide our new faculty with information about many different resources available to them here at UCSD, plus, it gives them an opportunity to meet other new faculty members. The Senior Vice Chancellor's office schedules these orientations during the Fall Quarter and another during the Winter Quarter. The Fall orientation provides new faculty with a detailed introduction to campus resources and includes discussions with campus administrators regarding the faculty's responsibilities to their departments, divisions, colleges, and the Academic Senate. The Winter session focuses on the faculty promotion and advancement process and includes a presentation regarding review criteria from the Chair of the Committee on Academic Personnel. New faculty members are expected and strongly encouraged to attend both orientation sessions.
FSAP is a confidential assessment and referral service provided by the University of California, San Diego for the purpose of assisting employees whose personal problems may be adversely affecting their work performance. This service provides the opportunity for troubled individuals to resolve problems and be restored to health while also enabling the University to retain employees so that they may continue to contribute their valuable skill and abilities. Faculty and staff, their partners and dependents are eligible. Services of the FSAP are provided at no cost to employees and their families. Those eligible will be informed of any cost, associated with services received from other resources. Most additional assistance is available at reduced rates, based on ability to pay and coverage provided by individual health plans. The FSAP can help whenever personal and emotional problems become more than one can handle alone. To make an appointment, call FSAP Office at x45523, or from off campus at (858) 534-5523. Services of the FSAP are completely confidential. The office is located in Torrey Pines Center - South, Hillside Suite 406.
Vacation/Sick Leave Accruals: Vacation accrues at the rate of 16 hours a month. There is no sick leave accrual. Appointments between 50% and 100% accrue proportionately, with a maximum of 384 hours of vacation accrual at 100% appointment.
Attendance Records: All academics are required to complete monthly timesheets, or to report vacation time used on a monthly basis.
Pay: Salaries are paid on first of the month following the month worked. If the first of the month is a weekend or a holiday then pay day is the preceding Friday.
Health and Welfare Plans and Programs: The brochure on Your Group Insurance Plans summarizes the benefits available to you. Additional information and the link for enrollment are located at www.atyourservice.ucop.edu. The UCSD Benefits Orientation Session is mandatory, and is held every Monday morning at Torrey Pines Center South on the main campus in La Jolla. NOTE: There is a 31 day Period of Initial Eligibility in which to enroll in the plans you choose. If you do not enroll within the 31 day period, you will be required to wait until Open Enrollment to sign up.
Retirement Plans and Savings Programs: Eligible employees automatically became members the retirement system (UCRP) and are vested after five years of service credit. The University offers a number of savings programs designed to supplement retirement income. Information on all retirement accounts is available through the At Your Service website listed above. 2% of your salary, less $19.00, is deducted on a pre-tax basis and invested in the UC Retirement Program.
Corporate Compliance: Included in your information packet is a Standards of Business Conduct Handbook. After having signed the acknowledgement statement with your newhire paperwork, please review this information carefully prior to working at UCSD. ID card: Your ID card and picture will be issued at the campus ID office located at 201 University Center. Please contact your division administrator or call 858/534-4322 for further information.
Leaves of Absence: Any academic leave of absence for more than 14 days requires a formal application and notification through the dean’s office. The Academic Leave of Absence (ALAS) form should be completed and submitted at least 2 weeks prior to your leave date. If the absence is for maternity leave, the Family Accommodations Request should be completed.
Merit Review: Merit review documentation is compiled one year ahead of the effective date. The review schedule is every two years for Assistant/Associate professors and three years for full professors. Please start keeping track of your professional activities, including teaching activity, lectures, departmental and university service, and any other professional or clinical related responsibilities, which will be required for your merit review.
Health Sciences Compensation Plan: All faculty appointed at 51% or greater are automatically included in the Health Sciences Compensation Plan. A complete version of the plan may be viewed at: http://som.ucsd.edu/index.php/facultycomp/reports_charts_forms/HSCP. Note that some income which results from occasional outside professional activity (other than patient care) may be retained, so long as the plan member complies with certain provisions. Please refer to the complete plan for additional details.
HIPAA Training: You are required to complete the HIPAA 101 Basic Training Module. The online training module is located at: http://health.ucsd.edu/compliance/hipaa.shtml. Please print out the Acknowledgement Form, complete it and mail to the business office, MC 0831 within one month.
Sexual Harassment Training: All faculty and academics are required by California state law to complete the Sexual Harassment Training within 6 months of your employment and once every two years thereafter. The training may be taken online at: http://www.workplaceanswers.com or in a classroom setting. Please contact Staff Education and Development for times and locations. The completed certificate should be mailed to the business office at 0831 for inclusion in your personnel file.
Safety Training: The University requires that each employee participate in the Injury and Illness Prevention Program (IIPP). Please contact Staff Education and Development online or call (858) 534-4890 for the next available session. Sessions are held in the Price Center on the main campus. Upon completion of this program please return your attendance record to the Business Office for inclusion in your personnel file.
Medical staff privileges are coordinated through Rady Children’s Hospital and Health Center and/or UCSD Medical Center. You will be forwarded the appropriate application packets if you plan to see patients either at Rady Children’s Hospital or the UCSD Medical Center in Hillcrest. Also if you do not have a current California medical license, we encourage you to visit the California Medical Board website which provides information on obtaining one http://www.medbd.ca.gov .
In addition, we are available to assist after your appointment begins by answering any number of questions that you may have on a variety of topics. We can also provide longer term information on the academic timetable in order for you to start planning for your subsequent merit review and/or promotion.
